Find media and embeddables

Here are a few tips for finding where media such as an audio player, video, or other files are embedded or linked to on your site.

Because there are multiple ways of hosting and displaying files, documents, and other media on your site, you may need multiple approaches to finding these.

Find Media

Siteimprove provides a list of media associated with your site. These media types include audio, images, video, flash, and java applets.

  1. Log in to Siteimprove. From the dropdown at the top of the page, select your site.
  2. In the Main Menu navigate to Quality Assurance > Inventory > Media

Find audio players

Both audio players and links to audio files can be on a site. Here's how to locate them.

Find audio on your site

Find embedded audio players

Use the Media Library to find audio player embedded into pages on your site. Because audio players can be embedded as <iframes>, you may need to check all embeddables to see if they embed an audio player.

  1. Go to All Content > All Media > Media Library or (/admin/content/media-grid)
  2. Using the Media type dropdown, select Embeddable.
  3. Click Apply filters to see a list of embeds. 
  4. To find the pages where an audio player may be embedded, click on the pencil to open the edit form.
  5. At the top of the edit form is a list of tabs. Select the Usage tab to see the list of pages where it has been used.

Note: On the Usage page, you may see some pages where the previous revision of a page had a video; even if that embedded video was subsequently deleted, this page may still be listed. This is to support reverting to an earlier version of the page.

Find audio players and files with Siteimprove

Siteimprove provides a list of videos associated with your site. 

  1. Log in to Siteimprove. From the dropdown at the top of the page, select your site.
  2. In the Main Menu navigate to Quality Assurance > Inventory > Media Files > Audio

Find audio with Siteimprove policies

If your site is getting scanned by Siteimprove, there are some policies that can help identify audio players. 

  1. Log in to Siteimprove. From the dropdown at the top of the page, select your site.
  2. In the Main Menu navigate to Policy > My policies.
  3. Use the following policies to help search your site for links to audio players:
    1. Captions Project: Spotify Embeds (Podcasts)
    2. Captions Project: Soundcloud Embeds (Podcasts) 
    3. Captions Project: iTunes Podcasts - Links or Embeds (Podcasts)
    4. QA: Google Files - This will find links to files in Google Drive. Check if any of the files are audio players.

Find videos

There are a few methods for finding all videos associated with your site.

Find videos from your site

Videos embedded on your site

Using the Media Library you can find find videos directly embedded into pages on your site:

  1. Go to All Content > All Media > Media Library or (/admin/content/media-grid)
  2. Using the Media type dropdown, select Video.
  3. Click Apply filters to see a list of video embeds. 

Repeat for Embeddables

  1. Because videos can be embedded as <iframes>, repeat the previous steps, but select Embeddable instead of Video, before clicking Apply Filters
  2. You'll need to check all embeddables to see if they embed a video.

Locate the embed:

To find where an embeddable is located on your site:

  1. From the list of embeds, click the pencil on a embed to open the edit form
  2. At the top of the edit form is a list of tabs. Select Usage. This will show a list of pages where it is embedded

  1. Log in to Siteimprove. From the dropdown at the top of the page, select your site.
  2. In the Main Menu navigate to Quality Assurance > Inventory > Media Files > Video

Using Siteimprove policies

If your site is getting scanned by Siteimprove, there are some policies that can help identify videos. 

  1. Log in to Siteimprove. From the dropdown at the top of the page, select your site.
  2. In the Main Menu navigate to Policy > My policies.
  3. Use the following policies to help search your site for links to videos:
    • Captions Project: YouTube Embeds (Videos) - This will find links to YouTube videos.
    • Captions Project: Zoom Recordings (External Links) - This will find Zoom recordings.
    • Captions Project: Vimeo Embeds (Videos)
    • QA: Google Files - This will find links to files in Google Drive. Check if any of the files are uploaded videos.

Find files

Several approaches may be needed to find files such as PDFs and Word Docs.

Find files from your site

Use the Media Library to find files hosted on your site. 

  1. Go to All Content > Files or (/admin/content/files)
  2. To find PDFs, In the Filename enter .pdf
  3. Click Filter to see the list of pdfs
  4. Repeat for other document types. 
  5. To see where the file is getting used, click the associated link in the Used in column
  6. To find the pages where an audio player may be embedded, click on the pencil to open the edit form.
  7. At the top of the edit form is a list of tabs. Select the Usage tab to see the list of pages where it has been used.

Find files with Siteimprove

If your site is getting scanned by Siteimprove, you have several approaches to finding files: You can find PDFs that are hosted directly on the site, and find files, including PDFs, that are linked to from the site.

Find documents

Siteimprove provides a list of documents associated with your site. This includes both documents hosted on your site (internal) and documents linked to from your site (external). Document types include Excel, PDF, PowerPoint, Word, and XML.

  1. Log in to Siteimprove. From the dropdown at the top of the page, select your site.
  2. In the Main Menu navigate to Quality Assurance > Inventory > Documents

Find accessibility-tested PDFs hosted directly on the site:

For PDFs hosted directly on the site, Siteimprove will test PDFs for accessibility. The results include Machine-readable (that is, it's not an image), PDF Tags, and Other issues (that is, other accessibility issues).

  1. Log in to Siteimprove. From the dropdown at the top of the page, select your site.
  2. In the Main Menu navigate to Accessibility > PDFs

Find files that are linked to from the site

Siteimprove provides "policies" that  help identify files. 

  1. Log in to Siteimprove. From the dropdown at the top of the page, select your site.
  2. In the Main Menu navigate to Policy > My policies.
  3. Use the following policies to help search your site for links to files:
    • [QA] Google Files - This will find links to files in Google Drive. Check each link to discover the type of file.
    • [QA] Google Docs  - This will find links to Google Docs
    • [QA] Google Drive Folder - This will find folders in which your files may be accessed.
    • [QA] Google Docs Forms - This will find any Google Forms.
    • [QA] Links to Stanford Box - Since Stanford Box has been deprecated, these files are no longer accessible and their links removed.
